Loom cancellation now has two documented paths. Atlassian-managed subscriptions use Atlassian Administration and Billing. Legacy Loom workspaces use Workspace Settings and Plan & Billing. Identify the billing system and the required administrator before following either set of steps.
Before changing the plan, inventory important videos, owners, public links, workspace permissions, and download eligibility. A downgrade changes future plan access; it is not proof that every video has been exported or that every existing link will behave the way your team expects.
Quick answer: cancel from the billing system that owns the subscription
- Confirm whether billing is managed by Atlassian or by the legacy Loom workspace.
- Sign in as the organization, billing, or workspace administrator required for that path.
- Review owners, shared libraries, important links, and eligible downloads before changing the plan.
- Open the exact Loom subscription, choose the documented deactivate, cancel, or downgrade action, and read the effect shown on screen.
- Save the confirmation and the exact effective date.
- After the change, verify the workspace plan, member access, recording limits, and the important videos and links your team still needs.
First identify Atlassian-managed or legacy Loom billing
Do not use screenshots from another workspace as proof of the current route. Billing migrations, role differences, and contract structure can change the controls an administrator sees.
| What you see | Likely path | Administrator to involve |
|---|---|---|
| Loom appears in Atlassian Administration under Billing and Subscriptions | Atlassian-managed subscription | Organization or billing administrator |
| Workspace Settings contains Plan & Billing and Manage Subscription | Legacy Loom billing | Loom workspace administrator with billing access |
| No cancellation control is visible | Role, reseller, enterprise contract, or billing-owner issue | Named billing owner or Loom/Atlassian support |
Atlassian-managed Loom: deactivate the correct subscription
The exact wording can change. Use the current Atlassian account interface and the official Loom cancellation article rather than relying on a remembered label.
- Open Atlassian Administration and select the organization that owns the Loom subscription.
- Open Billing, then Subscriptions.
- Select the Loom subscription you intend to change. Check the organization and billing details before continuing.
- Choose Deactivate or the current cancellation control shown for that subscription.
- Read whether the change is immediate or scheduled for the end of the billing period. Record the date displayed in your account.
- Save the confirmation page or email with the administrator’s internal change record.
Legacy Loom billing: downgrade from Workspace Settings
If the workspace belongs to a larger organization or uses invoiced enterprise billing, the self-service control may not be available. Use the billing contact or the support route shown in the account instead of changing another workspace by mistake.
- Open the intended Loom workspace and go to Workspace Settings.
- Open Plan & Billing, then Manage Subscription.
- Choose the downgrade or cancellation option shown for the current plan.
- Review the plan the workspace will move to, the effective date, and any limits shown in the confirmation flow.
- Confirm the change and retain the final account confirmation.
Check video ownership and download access before the change
Loom documents MP4 downloads for eligible paid workspace roles, with restrictions based on plan, role, workspace settings, video type, and file size. Review the current vendor instructions and the Loom plans and limits guide before assuming a free workspace can export everything later.
- List active creators and the owner of each important shared library or folder.
- Record the public or embedded links that customers, documentation, and internal systems still use.
- Identify videos that must be retained under company policy and who is authorized to export them.
- Test download eligibility with the role that will perform the work.
- Check whether captions, chapters, CTAs, comments, analytics, or permissions must be preserved separately.
- Do not treat an MP4 file as a complete workspace backup.
What a downgrade changes
A downgrade moves the workspace to the limits and capabilities of the destination plan on the effective date stated in the account. That may change future recording limits, editing, AI features, team controls, or download eligibility. Existing content should be checked against Loom’s current documented plan behavior instead of assuming it disappears or remains fully editable.
Record the destination plan and date in the internal change ticket. If the team needs a feature after downgrade, identify it now rather than after the billing period closes.
Verify the account after cancellation or downgrade
- The billing page shows the expected plan or scheduled cancellation date.
- The administrator received and retained the confirmation.
- Important videos still open for their intended audience.
- Ownership and workspace membership match the transition plan.
- Required downloads completed and opened successfully.
- Embedded and customer-facing links were sampled from outside the workspace.
- A named owner will handle any remaining export, deletion, or retention work.
If the cancel control is missing
Confirm that you are in the right workspace or Atlassian organization and that your account holds the required billing role. Check whether the subscription is managed by a reseller, enterprise agreement, or another administrator. Then use the support path associated with the billed account.
Do not create a new paid workspace, remove members, or delete videos as a workaround for a missing billing control. Those actions do not cancel the subscription and can make ownership or retention harder to resolve.
If you are evaluating another recorder
Complete the cancellation and preservation work before choosing a replacement. Then compare Zight and Loom using one real recording, sharing, and support-evidence workflow.
If link sharing is the main job, review how your team will share recordings with a link, control access, and keep ownership clear. Do not promise that another service will preserve Loom URLs, comments, analytics, captions, or workspace structure unless a tested migration path says so.
